Established systems. High pressure. Little time.

You do not need to rebuild your entire IT to use AI effectively.

Valuable information already exists in ERP systems, databases, technical documentation and specialist applications. What matters is enabling your teams to work with it faster and more securely.

01

Cost pressure with tight budgets

Productivity needs to improve without starting a multi-year transformation project or destabilising operations.

02

Skills shortages and lost capacity

Experienced employees spend too much time searching, coordinating, documenting and completing recurring routine tasks.

03

Data in disconnected systems

ERP, databases, documents and specialist applications provide information. A fast and reliable overall view is often missing.

04

Knowledge in heads and legacy applications

Work instructions, product expertise, quality documents and practical knowledge are difficult to find or known only by individual people.

05

Uncertainty around data protection and shadow AI

Private AI accounts and uncoordinated tools create unclear data flows, missing rules and avoidable risks.

06

Too little time for major projects

Business teams and IT need a pragmatic entry point with a clear initial benefit, not another strategy project.

The lowest-friction starting point

Start where every department loses time.

Secure AI chat is the simplest way to get started. Employees gain access to powerful AI models through one centrally controlled platform instead of private accounts with unclear data flows.

AI does not replace expert decisions. It creates time for tasks that require experience, accountability and technical understanding.

Typical first use cases

  • Prepare emails, quotes and supplier communications
  • Summarise and translate technical documentation
  • Structure meeting, shift handover and visit notes
  • Compare tenders, specifications and requirements
  • Explain and prepare Excel analyses
  • Understand process descriptions and internal policies faster

Your systems stay. Access gets better.

Your data stays where it is. It simply becomes usable.

9brains does not replace your systems. It provides a controlled AI layer through which authorised people can search, understand, combine information and prepare analyses.

We have the data. But no one gets a reliable answer quickly.

Unlock existing data sources meaningfully

With the 9brains On-Premise Connector, you connect internal systems through an encrypted, outbound-only WireGuard tunnel. Your corporate network remains unreachable from the outside.

This can make internal databases, locally operated ERP systems such as Odoo, SAP or Microsoft Dynamics, and internal interfaces usable for clearly defined use cases.

You decide with your IT team which data to unlock. Permissions, permitted access and the concrete use case are defined for each data source. The usual starting point is read access for research, analyses and decision templates.

Understand on-premise connectivity

Questions that should not wait for long research

  • Which product group has the highest complaint rate?
  • Which customers regularly order product line X but have not done so for three months?
  • Summarise delivery delays across our key suppliers.
  • Which open quotes concern customers in industry Y?
  • Which quality deviations were documented for product group Z?
  • Which maintenance instructions apply to machine or series X?

A sensible start is read access, analysis, drafts and approvals. Direct write access to core systems is only implemented where process, permissions and technology are properly aligned.

Data from operational systems becomes decision support

Reports by natural language instead of SQL and waiting for development.

James Larsen of Fulex Group
Fulex Group
“The biggest lever for us: We now get reports and analyses from our data warehouse via language instead of SQL, without waiting for a developer. In parallel, 9brains automates routine tasks in our ERP system that would otherwise have cost us valuable time.”

James Larsen

Managing Director, Fulex Group

Fulex Group is a fulfilment and logistics company. The case study nevertheless demonstrates what is also relevant for manufacturing companies: understanding operational data faster, using established system landscapes better and relieving recurring tasks in a targeted way.

Knowledge should not leave with individuals

When experience retires, your knowledge remains available.

Knowledge management should not become another wiki project. It is about making approved knowledge directly usable for the right people.

Internal knowledge for everyday work

  • Work instructions and standard processes
  • Quality management and inspection plans
  • Safety and training documentation
  • Technical product information
  • Assembly, maintenance and service instructions
  • Sales, commercial and onboarding knowledge

Knowledge for customers and partners

  • Operating manuals and technical documentation in chat
  • Multilingual product and service questions
  • Support for dealers and field service
  • Product FAQs and troubleshooting
  • Spare parts and configuration knowledge

Employees, customers and partners ask questions in natural language and receive answers based on approved sources.

This is particularly useful for international teams: questions can be asked in the respective language while the knowledge base remains centrally maintained and controlled. References make answers traceable.

Automation with clear boundaries

Automate recurring workflows. Keep control.

AI supports recurring work steps, operates within clear rules and requests approval for relevant decisions.

  1. 01

    Read

AI unlocks data, documents and approved knowledge.

  2. 02

    Understand

AI summarises, checks, compares and prioritises.

  3. 03

    Prepare

AI creates drafts, analyses, decision templates or tasks.

  4. 04

    Act with control

Approved steps are performed with clear roles, boundaries and approval points.

Subject matter experts define the business logic, rules and approvals. 9brains supports secure implementation and integration.

Start pragmatically. Expand where it pays off.

From initial benefit to productive scale.

Start now

  • Secure AI chat for teams
  • Summarise technical documents
  • Translations and quote drafts
  • Make process knowledge accessible

Next expansion step

  • Connect data from ERP, databases and documents
  • Knowledge assistant for service and field sales
  • Agents for quotes, procurement or reporting processes
  • Controlled, multi-step workflows

Work productively without giving up control

Your AI rules apply to everyone. Not only those who remember them.

Security is not an end in itself. It is the prerequisite for using AI productively across the company.

Central model approvals

Administrators define which models and usage modes are available in the workspace.

Roles and permissions

Employees receive access to the data, knowledge sources and functions they need for their role.

No training on your data

Inputs and generated answers are not used to train the models provided through 9brains.

EU mode for sensitive content

EU mode enables exclusively EU-sovereign models. Model processing then takes place physically on infrastructure within the European Union.

Important: Not every process necessarily takes place in Germany in every usage mode. This is why data classes, model approvals and sovereignty mode are deliberately aligned to your use case.

No big bang. One useful first step.

AI introduction that fits your IT landscape. Not the other way round.

Manufacturing companies rarely buy just a tool. They need to know whether systems, permissions, data flows and business teams are understood.

  1. 01

    Prioritise opportunities

Which tasks cost time today, where is information missing and where is a low-risk entry point possible?

  2. 02

    Map systems and data flows

Which data sources are relevant, which rights apply and what connection is appropriate?

  3. 03

    Deliver a pilot use case

With a clear target group, measurable benefit and an accountable business owner.

  4. 04

    Scale successful patterns

Only then roll out additional data sources, knowledge areas and controlled workflows.

FAQ

Questions manufacturing companies should clarify before using AI.

Do we need to replace our ERP or DMS for 9brains?

No. 9brains does not replace your existing systems. The focus is making existing data, documents and knowledge sources meaningfully usable for authorised employees.

Can on-premise systems be connected too?

Yes. After technical assessment, internal systems can be connected via a secure link. The appropriate approach depends on the system, permissions, network architecture and desired use case.

Can AI access technical documentation and work instructions?

Yes. Approved documents can be used as a knowledge source. Employees ask questions in natural language and receive traceable answers based on the stored content.

Does AI control our machines or production equipment?

No. The typical entry point is knowledge, data access, analysis, preparation and controlled workflows. Operational intervention in production equipment always requires a professionally and technically aligned safety concept.

Is our data used to train AI models?

No. For the models provided through 9brains, inputs and answers are not used for training.

Can employees ask questions in different languages?

Yes. This is particularly helpful for international teams, service and field sales. The knowledge base can be centrally maintained while questions are asked in the relevant language.

Do we need a major AI project?

No. A prioritised start with a concrete use case and clear success criterion makes sense. You then decide based on real experience which areas should be expanded.
